Who we are

Ledgerline is private, internal accounting software operated by 1st Source Solution LLC, a South Carolina limited liability company ("we", "us"). It is used only by 1st Source Solution LLC to keep its own books. It is not offered, sold, or licensed to anyone else.

What information Ledgerline handles

When we connect Ledgerline to our own QuickBooks Online company, Ledgerline reads our company's accounting records, which may include:

• Chart of accounts, account balances, and trial balance reports;
• Names and contact details of our customers and vendors (name, company, email, phone, billing address);
• Products and services, invoices, bills, and their balances;
• Employee names, contact details, hire dates, and the last four digits of Social Security numbers as provided by QuickBooks.

Ledgerline also stores the records we enter directly, such as invoices, bank transactions, and payroll information for our employees.

How the information is used

The information is used solely to operate our own business: bookkeeping, invoicing our customers, paying our vendors, running payroll, and meeting our tax and reporting obligations. We do not sell, rent, or share this information with third parties for marketing, and we do not use it for advertising.

Where it is stored and how it is protected

• Data is stored in a database on computers controlled by 1st Source Solution LLC in the United States.
• Access requires a password-protected login available only to authorized personnel of 1st Source Solution LLC.
• Sensitive fields (Social Security numbers, bank account numbers, and access tokens for connected services such as QuickBooks Online) are encrypted at rest.
• Connections to Intuit QuickBooks Online use Intuit's OAuth 2.0 authorization over HTTPS. Ledgerline never receives or stores Intuit sign-in passwords.

Service providers

To perform its functions, Ledgerline may transmit limited data to services we choose to use: Intuit QuickBooks Online (to import our own records), our email provider (to deliver invoices to our customers), Twilio (to send invoice text messages to customers who have agreed to receive them), and Plaid (to download transactions from our own bank and card accounts). Each provider processes data under its own privacy policy.

Retention and deletion

Accounting and payroll records are kept for as long as required by law and for our legitimate business needs (generally at least seven years for tax records). We may disconnect QuickBooks Online at any time from within Ledgerline or from our Intuit account, which revokes Ledgerline's access; data already imported remains in our own books.
